General Information:
  1. All University of California, Santa Barbara facilities which may be available to off-campus renters are first and foremost academic facilities, and may be scheduled for use by off-campus renters only after all regular University classes, exams, meetings of campus clubs and groups, etc. have been accommodated. Requests for Use of Facilities by off-campus renters are the lowest priority for the Campus Scheduling Office and are filled only after all University requests have been accommodated.

    Facilities are scheduled on a quarter-by-quarter basis, with reservations for off-campus users for any given quarter being confirmed, typically, one month before that quarter begins. Requests for weekend use presented during a given quarter can typically be confirmed (or denied) within two days; requests for weekday evenings presented during a given quarter can typically be confirmed (or denied) within a week. Requests for dates during exam weeks are typically confirmed only ten days to two weeks before the beginning of the exam week in question.

    The University cannot guarantee that any one facility will be available to an off-campus user on a continuing basis (i.e. for a sequence of 15 consecutive Saturdays or occasionally over the period of several months), though it will do its utmost to provide the same room if so requested. While a specific facility may be available and confirmed for all dates which fall during the regular schedule of the first quarter of a request, the same facility may be unavailable, due to changing schedules, during exam dates which fall during that quarter, and may be unavailable the following quarter, as a University activity (class or otherwise) with higher priority may have requested its use.

  2. The University provides all facilities on an “as is” basis. The schedule for campus custodial service is from 2 a.m. to 10 a.m., Monday through Friday mornings. Facilities rented for use on weekday evenings will not have been cleaned since before the start of classes at 8 a.m. that morning; facilities rented for use on weekends will not have been cleaned since before the start of classes at 8 a.m. the preceding Friday morning. The condition, therefore, of a facility depends upon the usage during the preceding day(s): previous users (University or otherwise) may have littered the facility and may have left desks, tables, chairs, etc. in disorder.

    The off-campus user is therefore advised to plan on arriving at the facility in sufficient time prior to the event to perform any necessary clean up.

    If the off-campus user so desires, the University can arrange for special custodial service for the facility, but all charges for this extra service will be billed to the off-campus user at the rates established by the University’s Facilities Management department.

  3. University restrooms are cleaned and re-stocked on the same schedule as classrooms and therefore may not be in the best condition, especially on weekends. If the off-campus user wishes to have bathrooms cleaned and restocked prior to or during the course of its event, this service may be provided, but only via a charge to the off-campus user; the cost of restocking supplies may be included in the total bill.

  4. Climate control cannot be provided for any individual room, under any circumstances. Small classrooms are not air-conditioned, though larger conference rooms may be. Any climate control systems, including heat, are turned off after-hours (including weekends): depending upon exterior conditions, rooms may therefore be rather cold or hot.

  5. All facilities are made available to the non-campus user between the hours specified on the “Room Reservation Form(s)” provided to the non-campus user as confirmation of its rental request. All facilities are unlocked and locked at the beginning and end of each day, on a campus-wide basis. The facility rented to the non-campus user may, therefore, be unlocked up to several hours before the non-campus user’s event actually begins and may not be relocked for up to several hours after the event ends.

    If the non-campus user has a need for a facility to be unlocked and locked at a specific time (for an event which lasts more than one day, for example), for security or other reasons, special arrangements will need to be made with the University’s custodial staff, and all charges for this extra service will be billed to the off-campus user at the rates established by the University’s Facilities Management department.

    On rare occasions, a facility may not be unlocked prior to the off-campus user’s event. In such an event, the off-campus user should call 893-3446 and request that the on-duty Facilities Management custodian be sent to open the facility. Since response time may not be immediate, it is recommended that the off-campus user arrive at least an hour prior to the start-time of the event. If there has been no response by the on-duty custodian within an hour, the off-campus user should call 893-3446 and request that a campus police officer be sent to perform an emergency unlock.

    The off-campus user should always bring its copy of the “Room Reservation Form” to its event, to present to the on-duty custodian or police officer as proof of authorized use of the room, when requesting such an emergency unlock, and also to present to any other person, student or otherwise, who may have seen an open room and decided to use it as an informal study hall, room for a review session, etc.

  6. Off-campus users must obey all University parking regulations, being careful to park only in designated parking lots, and not in disabled and service spaces.

    University parking permits are required in all areas of campus Monday through Sunday 7:30am – 10:00pm. No permit is needed if you parked in metered spaces, but the meter must be fed.

    If the off-campus user’s event, in the sole judgment of University’s Parking Services department, is of a scale which will bring considerable numbers of motor vehicles onto the UCSB campus and will present traffic and/or parking problems, Parking Services shall provide the necessary level of staffing in order to ensure the safe conduct of the event, and will bill the non-campus user for such services at its established rates.

  7. Any service requested by the non-campus user, such as the rental of tables and chairs or other equipment from the University’s Furniture Services department, or the use of audio-visual equipment provided by its Media Equipment department, will be billed to the non-campus user at the rates established by these departments.

    The non-campus user is responsible for the safety of any rented equipment until it is returned to the custody of the University department that provided it. Media Equipment will typically pick up or re-house any of its rented equipment at the completion of the non-campus user’s event, at a pre-arranged time. Equipment provided by Furniture Services is delivered up to several hours before the start-time of the non-campus user’s event and picked up the following working day. The equipment is therefore secured with a cable and padlock and it is the non-campus user’s responsibility to re-secure all equipment following completion of its event: any equipment stolen because it was not re-secured will be billed to the non-campus user.
